Meetings

The press and public are welcome to attend meetings of the Council and the Committees to observe, although sometimes confidential matters must be considered in private. Sometimes the public may speak or ask questions at meetings of the Full Council and speak at Planning Committee if advance notice is given.  The rules for public speaking are set out in the Council's Constitution.

With one or two exceptions Councillors are entitled to attend all meetings whether or not they are members of the Committee in question. Members of the Committee, and other Councillors, meet in the Council Chamber. Officers are also present to advise the Committee on technical, professional and procedural matters. The Chairman of the relevant Committee sits at the centre of the top table on a raised platform (called a dais) facing the other Councillors. Officers sit either side of the Chairman to present their reports, answer questions, advise and support the Committee.

We keep a record of the number of meetings that Councillors attend during the Municipal Year (May to May each year). We show:

  • the total number of scheduled meetings that Councillors can attend as members of the Committees to which they have been appointed (on the table only)
  • where they have substituted for someone else who is unable to attend the meeting
  • if someone else has substituted for them
  • where they have attended as a non-member of the Committee
  • when they have been absent from a meeting and may or may not have submitted apologies for absence.

The record is updated on a regular basis. The date of the last update is shown on the attendance record.

Most meetings are held in the Council Chamber, starting at 7.30pm, at the Runnymede Civic Centre, Station Road, Addlestone.   The Englefield Green Committee starts at 7.30pm and is held at The Jurgens Centre, Harvest Road, Englefield Green.

Details of the meetings are displayed on all the Council's notice boards and on this website. Copies of the Committee Agendas/Minutes can be found on our website and at local libraries. 

Members of the public attending meetings can park in the new multi storey car park in Garfield Road, which is part of the Addlestone One development.  There are also two disabled parking bays in front of the main offices on Station Road.  People with particular access needs should contact us in advance so that we can ensure you can be accommodated.
